What we collect, and why.

Who we are

StrataPMS is software for running RV parks and campgrounds. It’s made by DCV Systems, a company in Oregon, USA. In this policy, “we,” “us” and “our” mean DCV Systems.

This policy covers this website, stratapms.com, and the emails we send to parks: what we collect, why, and the choices you have.

What we collect, and why

Here’s everything we collect through this site and those emails.

• The early-access form. When you sign up, you send us your park’s name, your name and your work email. You can also add your phone number, how many sites your park has, the system you use today, and a note. We use this to set up your park’s account and to tell you when early access opens. If your note asks us something, we use it to answer you.
• The demo agreement form. When you try the demo, you send us your name and your email, and you tick a box to agree to the demo terms. We keep a record that you agreed, and when. We use your name and email to give you your own demo and to send you the link to come back. There is a second box, “Keep me posted about Strata,” which is optional and starts unticked. If you tick it, we may email you news about StrataPMS, and every one of those emails has a link to unsubscribe. It is the only reason we would write to you after your demo.
• Emails you send us. If you email us, we get your email address and whatever you write. We use it to reply.
• Emails we send to parks. We sometimes email RV park and campground businesses to introduce StrataPMS. For each email, we use the park’s name, a contact’s first name and a work email address. Every one of these emails has a link to unsubscribe in one click, and replying “unsubscribe” works too. When you unsubscribe, we add your email address and the date to our do-not-contact list, so we never email you again. That’s all the list holds.
• Basic technical details. When your browser loads a page, the company that hosts this site, Netlify, receives basic technical details, such as your IP address, your browser type and the page you asked for. Every website works this way. We don’t use these details to identify you or to follow you around the web.

The early-access and demo forms also have a hidden field that people never see. Spam bots tend to fill it in, which helps us filter them out.

This site never asks for payment details or passwords.

Cookies and your browser

This site doesn’t use cookies, and it has no advertising or analytics trackers. The scripts and fonts it uses are part of this site. None are loaded from outside services.

Your browser does keep two small notes for this site, in its local storage. They stay on your device, and the site doesn’t send them anywhere:

• whether you paused the site’s motion, so your choice is remembered; and
• the email address you signed up or asked for a demo with on this device, so the forms can tell you if you already have.

You can remove them at any time by clearing this site’s data in your browser’s settings.

How we store it

Netlify hosts this website. When you send the early-access form or the demo agreement form, Netlify receives it and stores it for us. Netlify also stores our do-not-contact list. Emails you send us are kept in our email account, and the contact lists we use for emails to parks are kept in our own files.

Who we share it with

We don’t sell your personal information, and we don’t share it for advertising.

We share it only with the service providers that help us run StrataPMS, such as Netlify, which hosts this site and receives the form, and our email provider. They handle it for us, to do that work.

Otherwise, we’d share it only if the law requires us to, such as under a valid court order.

How long we keep it

How long we keep something depends on what it is:

• Demo agreements, meaning your name, your email and your agreement to the demo terms: 60 days. If you ticked “Keep me posted about Strata,” we keep your name and email on our update list until you unsubscribe.
• Free trial sign-ups, meaning what you send through the early-access form: 60 days. If your park’s account opens, what you sent becomes part of that account.
• Other records, like emails you send us, our replies, and the contact lists we use for emails to parks: 12 months.
• The do-not-contact list: for as long as we send emails to parks. It holds only an email address and the date it was added, and it’s how we make sure we never email you again.

The free trial lasts 30 days from the day your park’s account opens. After that, a paid subscription is needed to keep using StrataPMS.

If you ask us to delete your information sooner, we will, unless the law requires us to keep it. If you’ve unsubscribed, we keep your email address on the do-not-contact list even after deleting everything else, and use it only to make sure we don’t email you. Once your park is a customer, your park’s agreement with us covers the information in its account.

Your choices and rights

You can ask us to:

• show you the personal information we have about you;
• correct anything that’s wrong; or
• delete it.

Email privacy@stratapms.com and tell us what you’d like. We may ask you to confirm it’s really you, usually by writing from the email address you gave us. We won’t treat you differently for asking.

You can also stop our emails at any time: use the unsubscribe link in any of them, reply “unsubscribe,” or write to us. And you never have to give us any information just to read this site.

Parks that use StrataPMS

When a park uses StrataPMS, we process the park’s guest information on the park’s behalf, under the park’s agreement with us (see our Master Subscription Agreement and Data Processing Addendum). If you’re a guest of a park that uses StrataPMS, please contact the park with questions about your information.

Children

This site is for businesses. It isn’t meant for children, and we don’t knowingly collect information from anyone under 13. If you think a child has sent us information, email privacy@stratapms.com and we’ll delete it.

Security

We take reasonable steps to protect the information we collect. For example, every page of this site is served over an encrypted connection (HTTPS). Still, no website or email system is perfectly secure, so we can’t guarantee that information will always stay safe.

SMS and text messages

StrataPMS text messages are sent by DCV Systems LLC (StrataPMS). If you opt in to them, for example by texting STRATA to (541) 546-1735, we use your mobile number only to send the messages you asked for: account and demo alerts, sign-in codes, and replies to your questions. Message frequency varies. Message and data rates may apply. Reply STOP at any time to stop them, or HELP for help.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent will not be shared with any third parties.

Changes to this policy

If we change what this site collects or how we use it, we’ll update this policy. We’ll post the new version on this page and change the effective date at the top.
